The Arts Council Arts County operates two facilities in Ashe County. A historic WPA building, the Ashe Arts Center, in downtown West Jefferson, houses the offices for the Arts Council, Gallery, & Gallery Shop. The Ashe Civic Center, a 282 seat theatre space, also serves as the home of the Ashe County Little Theatre. In addition to offering year-round art experiences in these spaces, Ashe County Arts Council offers programming at other sites such as the public school systems, the Ashe Park, the West Jefferson Farmers Market, and other community spaces. The Ashe County Arts Council exists to enrich the cultural life of the region by nurturing and supporting the arts.
JOB DESCRIPTION: Bookkeeper (Part-Time)
Ashe County Arts Council, West Jefferson, NC
The Bookkeeper is responsible for maintaining the financial records and bookkeeping functions of the Ashe County Arts Council. This position manages accounts payable and receivable, payroll, financial reporting, tax filings, fund drive records, and other financial processes that support the organization’s programs and operations. The Bookkeeper reports directly to the Executive Director and works closely with staff, the Finance Committee, and the organization’s accountant and auditor.
RESPONSIBILITIES AND DUTIES
BOOKKEEPING & FINANCIAL MANAGEMENT
- Maintain accurate financial records, including accounts payable and accounts receivable.
- Process payroll and prepare related tax filings and reports.
- Prepare monthly financial reports for staff and Board review.
- Maintain credit card records, receipts, and supporting documentation.
- Prepare and organize financial records for annual audits.
- Assist with development of the annual operating budget.
- Complete required state filings, licenses, and financial reports.
- Prepare quarterly reporting as required.
GALLERY & GALLERY SHOP ACCOUNTING
- Record artwork sales and calculate artist commissions.
- Track Gallery Shop sales and prepare artist payments.
- Reconcile sales records and deposits related to gallery, retail, ticketing, and concessions activities.
- Prepare and file applicable sales tax reports and refund documentation.
FUNDRAISING & DONOR RECORDS
- Maintain records of annual fund drive contributions and donor information.
- Generate reports for staff and Board use.
- Prepare donor correspondence, acknowledgments, pledge invoices, and related records.
GENERAL
- Maintain proficiency in QuickBooks and related financial software.
- Serve as a financial resource for staff and Board leadership.
- Assist with special projects and provide backup support for office operations as needed.
- Perform other duties as assigned within the scope of the position.
EXPERIENCE
- Two (2) or more years of bookkeeping, accounting, or financial management experience preferred.
- Experience with nonprofit bookkeeping is preferred.
- Associate’s degree in accounting, business, or a related field preferred; equivalent experience will be considered.
SKILLS
- Proficiency with QuickBooks and Microsoft Excel.
- Strong attention to detail and organizational skills.
- Ability to manage confidential financial information.
- Excellent communication and problem-solving skills.
- Ability to work independently and manage deadlines.
POSITION DETAILS
- Part-time position, up to 16 hours per week.
- Flexible schedule, coordinated with organizational needs.
HOURLY RATE
- Starting rate approximately $25 – $28 per hour, depending on qualifications and experience.
